There are a number of reasons why you might need to adjust the budget for an account. For example, you may find that the participant qualifies for an increased benefit and therefore you increase the budget. A budget may need to be decreased, for example, if a participant receives other federal money and therefore qualifies for less than the original amount.
This tutorial describes how to adjust the budgets of both training and support accounts.
You might be able to avoid the need for a budget adjustment by changing your fund source.
Hint: Adjusting budgets requires mid-level security access. If Adjust Budget Amount does not appear in the Other Actions dropdown list, you do not have permission to perform this action. See your Gazelle administrator for assistance.
From the View Training Account or View Support Account page, select Adjust Budget Amount from the Other Actions dropdown list and click Go. This will display the Adjust Budget Amount page.
Enter a Reason for the budget adjustment. This is a text field and you must enter something, though there is no format for how the reason must be entered.
If you know the adjustment amount, enter it in dollars and cents in the Adjustment Amount field.
If you do not know the amount of the adjustment you wish to make, use the Adjustment Scenarios section at the bottom of the page to test various adjustments and see how they affect the budget and available amount. This section will perform the calculations for you. Enter the new adjustment in the New Adjustment field and then click Recalculate. The New Budget and New Available Amount (Amt.) fields will then reflect the financial impact of the adjustment you are considering. If you have a certain budget you must meet or available amount you are trying to reach, you can start with either of these fields in order to find a new adjustment amount which will work.
Hint: To cancel adjusting a budget, click Cancel at any time before you save and the View Account page will open.
When you are finished, click Save. This can be found at both the bottom and the top of the page. If something is wrong you will receive an error message in red at the top of the page. For example, you may have forgotten to enter a Reason for the adjustment. Correct the problem on the page below and click Save again in order to proceed.
Hint: The Recalculate buttons automatically fill the results of the latest adjustment scenario you calculated in the Adjustment Amount field in the Adjust Budget Amount section.
Congratulations. You have adjusted the budget for an account. The View Account page will open.
